• Processed securely through trusted third-party platforms (e.g., Stripe)

We use your information to:

• Provide coaching, hypnosis, and personal development services
• Deliver personalized feedback, resources, and ongoing support
• Prepare personalized reports based on your assessment responses

4. Recordings & Use of AI Tools

Certain calls—including coaching sessions, discovery calls, group classes, or events—may be recorded (audio and/or video) to support your experience, improve service delivery, and may be used for promotional purposes. Recordings may be processed using AI tools to generate session summaries, insights, personalized resources, or promotional content (such as testimonials or program highlights).

By participating, you consent to being recorded and to the potential use of your likeness, voice, or image in educational or promotional materials. You waive all rights to compensation or royalties related to the use of these recordings.

Recordings may be shared within My Coach Ray, LLC programs and communities or used publicly, as determined by Raymond Ciafardini, Jr. If participating in group settings, please be aware that your voice, likeness, or comments may be visible to other participants. Use discretion when sharing personal information in group environments.

You agree not to record, distribute, or share any part of the session content without written permission.

All session content, materials, recordings, and AI-generated outputs remain the intellectual property of My Coach Ray, LLC. By participating, you waive any claims of ownership over such materials, including any recordings in which your likeness, voice, or comments may appear.

5. Assessments, Reports, and AI Processing

When you complete an assessment we offer, we collect your responses along with the details you provide, and we use them to prepare a personalized report for you. Assessment responses and details are stored in our form and email platforms.

We use third-party AI tools to help analyze responses and prepare reports. Your responses may be processed by these tools. These tools are not private or HIPAA-compliant, and they operate under their own terms and privacy policies, which we do not control. Please do not include anything in an assessment that you would not want processed by a third-party tool.

Your responses may also be used to improve our assessments over time. Because of how AI tools process information, once your responses have been used in this way, we may not be able to fully remove them from that use.

Assessment responses are handled separately from session recordings and are not used in promotional materials.

The interpretation and suggestions in your report are ours, prepared with the help of AI tools. A report is for personal and professional development purposes only and does not constitute medical, psychological, or financial advice.

6. Data Protection

We use industry-standard safeguards, including secure platforms for email, files, and communication. Two-factor authentication (2FA) is used on select systems to enhance security where applicable.

Despite these efforts, no system can guarantee absolute security.

7. Cookies and Tracking

Our website may use cookies or similar technologies to improve your experience and monitor performance. You may disable cookies in your browser settings if you prefer, though some features may be affected.

8. Managing Your Information

If you'd like to view, update, or request deletion of your personal information, please email Ray@MyCoachRay.com. We'll do our best to honor your request, except where retention is required by law or legitimate business need (e.g., financial records). As described in Section 5, once assessment responses have been processed or used to improve our assessments, we may not be able to fully remove them from that use.

9. Data Retention

We retain personal information as long as necessary to:

• Support your participation in services
• Fulfill business and legal obligations
• Maintain accurate records

Coaching-related records (e.g., intake forms, summaries, session notes) may be retained for internal use to track progress and provide consistent service. Assessment responses and the reports prepared from them may be retained for internal use, including to prepare and reference your report and to improve our assessments.

This Privacy Policy may be updated from time to time. Revisions will be posted on this page with the new effective date. Continued use of our services indicates your agreement to any updates.
